Video transcription is the process of converting a video’s speech-based audio into written text.

Naming the Speakers within a transcription
In our current deliverables, all speakers will receive a number ie ‘S1’ & ‘S2’ which stands for ‘Speaker 1, Speaker 2’.
Redacting information within transcripts
Sometimes clients would like us to redact certain callouts within a transcription for legal or project purposes, and we’re happy to do so with guided direction on what needs to be redacted.
Different timestamp intervals
Right now we timestamp at every speaker change, however some clients would like custom timestamps at every minute of a dialogue as an example – we’re happy to make those timestamp customizations should you need them.
Please note that timestamps start when the spoken audio within a video starts, as opposed to when the video itself starts. For example, if you have an intro screen in your video for 10 seconds with no spoken audio, our timestamps will not begin until the speaking starts.
If you would like for our timestamps to be synchronized with the embedded timing of the video, we can provide this, but this will need to be discussed before the project starts, as we do not provide embedded timestamps automatically.
Specialized formatting of tags
For example, we use [silence] to indicate a silence of longer than 10 seconds, but if you’d like {quiet} or a specific tag instead, we’re happy to adjust our formatting.
Transcribing content outside of the spoken dialogue
We’ve received requests in the past where a presenter may be giving a powerpoint presentation with slides on screen, and companies have asked us to include the information on the slides in the transcription as well, which is not standard practice. We’re happy to do this but need to make sure we’re told in advance in order to ensure you receive the deliverable you’re looking for.

If you have more than 5,000 hours of audio or more to transcribe, we’re willing and able to take this on and talk out all of your requirements for your project.
Bilingual Projects
Regardless of volume, if your audio includes multiple languages within one conversation, we can transcribe each different language as it’s spoken within the dialogue.
Lyrics from songs
This is not included in our standard transcription packages and must be discussed beforehand to ensure accuracy.

Video Transcription FAQs
Do you transcribe Descriptive video?
No, we do not currently transcribe Descriptive videos (video that doesn’t contain text) – we only transcribe speech.
Can you transcribe song lyrics?
We also do not transcribe lyrics to songs, unless a client has submitted a custom project.
What is the difference between closed captioning and video transcription?
Transcription refers to the process of audio being converted into written text, whereas captioning divides that transcript text into time-coded chunks, known as “caption frames” otherwise known as embedded time codes. Though transcription forms the basis of captioning, each process has respective use cases.
We do offer SubRip Subtitle SRT services which allow for the synchronization of text with embedded time codes.

How many days in advance should I submit my content?
Turnaround times depend on the Transcription Type ordered.
- Machine Express: Transcripts are completed in about 3x the duration of your audio file. So a 10 minute file will take about 30 minutes to transcribe.
- First Draft: Transcripts without timestamps and speaker IDs are usually completed in 1 business day regardless of turnaround selected, or 2-3 business days if you include timestamps and speaker IDs.
- Standard: 1-3 Days
- Verbatim: 2-5 Days
Files spanning 90-120 minutes will take an additional business day, and any additional minutes past that, in 60-minute increments, will need an additional business day. For instance, if you have a file that is 240 minutes, this would take an additional 3 business days.
We offer a rush turnaround service in 1 business day (PST), for high quality audio files that are 70 minutes or less. If you submit low quality audio our turnaround times may be extended. Feel free to contact us if you need rush delivery for files over 70 minutes or have low quality audio.
What file formats do you accept?
We accept most digital formats. These include: wav, mp3, mp4, ogg, aiff, aif, m4a, mov, wma, avi, flv, 3gp, 3gpp, 3ga, amr, caf, m4v, mxf. As a rule of thumb, if you can play a media file on your computer, we should be able to transcribe it.
Will my video file be secure and confidential?

Our process of segmenting audio ensures confidentiality by preventing any one transcriptionist from having full access to your recordings. The full recording is only available to our Quality Assurance team, all of whom have signed NDAs.
